Guidelines for sending physical inventory
After completing the digital inventory shipment on our platform, prepare your products for physical shipment to the fulfillment center. Follow these guidelines to ensure an efficient receiving process and avoid additional costs.
Important: Ensure you register the digital inventory shipment on our platform before sending your physical inventory. Otherwise, the fulfillment center will be unable to identify and receive your products.
Arrange products
When sending your physical inventory, use the same shipping method you specified on the platform.
If you are using boxes, place your products into the designated boxes as indicated in the digital inventory shipment. Each box must have the printed inventory order attached.
If you are using pallets, simply allocate quantities per pallet. There is no need to separate products into individual boxes or attach inventory orders to each box; only one inventory order is required for the entire pallet.
Important: It is essential to print and attach the inventory order to each box or pallet as shown in the example. This is a mandatory requirement for the inventory to be accepted at the fulfillment center. Without the inventory order, the inventory will not be received.
Generate labels
Ensure all your products are correctly labeled before sending your physical inventory. This is mandatory; otherwise, your products will not be accepted by the fulfillment center.
We accept the following types of labels:
- Barcodes
- QR Codes
These codes are crucial for tracking your products in our fulfillment center, ensuring quick and accurate order processing.
Important: If you have not generated labels for each SKU you are sending, whether barcodes or QR codes, create and print them by following these steps.
Label items
Learn how to label your products and/or items with barcodes or QR codes for their entry at our fulfillment centers:
a. Each code must be unique to each SKU (product + variant). Ensure all codes follow the same format and character length.
b. Use a standard format for the codes. Avoid alterations that could affect readability.
c. Codes should only include alphanumeric characters: 0-9 and letters. Avoid special characters like spaces, #, $, %, o /.
d. Pay attention to leading zeros and avoid spaces. Values will be stored exactly as entered. For example, if you enter 123, it will be stored as 123; if you enter 000123, it will be stored as 000123.
e. Do not place text or images over the codes, as this may impede their readability.
f. The code should be black on a white background for optimal scanner readability.
Prepare products for storage
Once your products and/or items are correctly labeled, proceed with packaging. Ensure you pack different types of products according to their specific needs:
Textiles
- Pack each garment individually in sealed bags to protect them during storage and handling.
- Separate garments by size, color, or variant to facilitate identification.
Liquids or gels
- Containers over 16oz, like liquid soaps, aerosols, and lotions, must be fully sealed in plastic bottles to prevent spills.
Sharp items
- Wrap sharp objects in bubble wrap and/or cushioning material inside boxes to prevent exposure of sharp edges or points.
Adult items
- Package products with potentially offensive content, such as explicit magazines and movies, discreetly and opaquely to conceal the content.
Done! After sending your physical inventory, our team will handle the rest of your logistics operations, which you can monitor in real-time through your Envia Fulfillment account.
